E-commerce

Introduction

According to Purcell and Toland (2004), Internet and Communication Technology offer the opportunity to reduce the barriers of distance, and give countries better access to the global economy. This is where e-commerce comes into picture which covers an electronics trading of goods and services, electronic fund transfer, online procurement, direct marketing, electronic billing through the internet. It is very important for businesses to embrace the latest technology to conduct their business, whereby switching the traditional business into a better concept in terms of efficiency, productivity, profitability and competitiveness. (Scribd Inc. 2012)

In this assignment, we use Air Asia as an example of an e-commerce company where that company was voted as the most popular website for online shopping that makes it the number one e-commerce company in Malaysia.

AirAsia Berhad is a Malaysian-based low-cost airline where it was the largest low-fare, no-frills airline and a pioneer of low-cost travel in Asia. AirAsia group operates scheduled domestic and international flights to over 400 destinations spanning 25 countries. Its main hub is the Low-Cost Carrier Terminal (LCCT) at the Kuala Lumpur International Airport (KLIA). Air Asia is using e-commerce to promote and sales ticket through online. Passengers can make booking directly and buy tickets through online and just use a booking number to check in. The website also available in seven different languages, including four on its Malaysian site and registered members also receive promotions online though e-mails.

Definition of E-commerce

Electronic commerce or e-commerce is a term for any type of business, or marketable transaction, that involves the transfer of information through the Internet. It covers a range of different types of businesses, from consumer based retail sites, through sale or promotion, to business exchanges trading goods and services between corporations.

According to Network Solutions, LLC (2012), e-commerce allows consumers to electronically exchange goods and services with no obstacles of time or distance. Electronic commerce has expanded quickly over the past five years and is forecast to continue at this rate, or even accelerate. In the near future the boundaries between "conventional" and "electronic" commerce will increasingly indistinct as many of the businesses move their operations to the Internet. E-commerce can be divided into e-tailing or "virtual storefronts" on Web sites with online catalogs or virtual mall, the gathering and use of demographic data through Web contacts, Electronic Data Interchange (EDI), the B2B exchange of data, e-mail and fax as media for reaching prospects and established customers, B2B buying and selling, and the security of business transactions.

Disadvantages of e-commerce relate to Air Asia

Privacy and security

When the customer makes an online purchase, there need to provide personal information such as an address, telephone number and banking or credit card account information to purchase. Unfortunately, some of e-commerce websites are not able to harvest other information about the customer online behavior and preferences. This could lead to credit card fraud, or worse, identity theft. Moreover, it causes many people feel making an online purchase does not compromise their personal information, there still prefer not to take a possibility of having their account information accessed by a third party, and will only make their purchases at a store rather than online purchase.

For example, in Air Asia, security continues to be a problem where the privacy policy is not a contract and does not create any legal rights that make some of the customer doesn't feel confident about the integrity of their personal information and the payment process from online. Air Asia is well known with the cheap, no-frills flight service with the brilliant slogan ‘now everybody can fly’. However, some of the Air Asia customers complain that Air Asia has violated the law of privacy by sharing personal information to third parties where has complaint pertaining that about some of user personal information such as I.C. no. and full name was obtained by anonymous company. (KambingBujang.com, 2008)

Payment services

E-commerce is often performed using bank account, PayPal and credit card facilities as a payment method for every transaction that be performed in online. According to Tyler Lacoma (1999), online payment systems are new and global in their perception, problems can occur when it comes to applying them to all e-commerce company. Some types of payment that user used to pay may not be available in other countries, even when purchasing online from those countries is an option. The e-commerce company can also struggle to match up the values of different currencies or different types of bank accounts that user are using.

For example, in Air Asia some of American credit cards cannot be used by the user to make payments for booking the ticket flight. According to Cassandra James (2006), the Air Asia new payment system causes some of the American credit card cannot be used and take a long time for booking the ticket. She says that last time she has no problem using debit card and credit card to make payment until the new payment system come out, all her payment using it being declined and she has to take a long time to check to her bank and she attempts on Air Asia's website later, the payment finally went through.

Insecure Password

According to Yishan Wong (2009), some of the e-commerce website company was recently being hacked, with all user passwords stored in plain text was stolen above 32 million accounts. This is an awful security lapse, not just because it compromises user account, but because many users use the same password across multiple sites, so a file containing emails and plain text passwords means that the attacker can compromise a great many of these accounts for all those people across the web.

For example, it has problem on Air Asia systems where they're used plain text password. They're using the same password with same high security password, like email or bank account login. According to Juzhax (2011), the password that has plain text and no encryption is insecure where the password can easily be read from the hacker. One there gets the user password, they may try to access user email or other sites what the user login, because they can search username in Google. Inside the Air Asia system, they do allow used to store the credit card number inside, where the user credit card number maybe leak out to by the hacker.

E-commerce is not free

According to Emily Lonigro (2011), Every e-commerce site has these three pieces such as gateway, shopping cart, and fulfillment. Build a shopping cart to a client's specification is very expensive. Most carts are third-party and charge a monthly fee, therefore it has varying levels of difficulty and customization. In Gateway, it is the payment processor where it takes payments and puts them into a bank account. It connects the shopping cart with a processing network which checks for the necessary funds and either authorizes or denies payment where the fee is usually a percentage of the sale, around 3%. In the Shopping Cart, it is the site utility that collects items, deals with shipping, and handles other custom items like gift cards and custom messages. This utility sends the orders to fulfillment and the credit card details to the gateway. It's usually a monthly fee. In Fulfillment, it is the place that processes and ships the orders. This will cost of time, money, or sometimes can be both.

For example, Air Asia is known the cheapest airline industry compare to another airline. The Air Asia uses e-commerce to promote their sales promotion on ticket prices, where it is more expensive way to promote. Therefore, Air Asia has to spend more money to pay for e-commerce business to promote their ticket promotion where they also need to pay worker salary, government tax, supplier, equipment, services, and facility. If their ticket sales drop in future, it will effect them where there has problem to pay all the payment include the e-commerce fee.

The Advantages and Disadvantages of the Group Decision Making Process

The effectiveness of decision-making groups can be affected by a variety of factors. Thus, it is not possible to suggest that "group decision making is always better" or "group decision making is always worse" than individual decision-making. The advantages of the group decision making process are fewer influences of bias, more creative solutions, diversity, collective understanding, varied experiences, and improved communication.

Fewer influence of bias
Individual biases can be challenged and individuals may have to recognize and eliminate them. Encourage individuals to explore apparently unrealistic ideas and to challenge accepted ways of doing things. Individual biases and prejudices can be challenged by the, group, forcing the individual to recognize them. Group pressure can also encourage individuals to accept that change is needed.

More creative solutions
More creative and innovative solutions to solve problems may emerge than an individual able to develop when many people involved. Groups of individuals can bring a broad range of ideas, knowledge and skills to bear on a problem. This creates a stimulating interaction of diverse ideas which results in a wider range and better quality of solutions.

Diversity
Group decision-making takes advantage of the diverse strengths and expertise of its members either variety in cultures, age, and gender is all add to the diversity of group which gives us varied perspectives and enhances the kind of ideas the group can come up with. By tapping the unique qualities of group members, it is possible that the group can generate a greater number of alternatives that are of higher quality than individual. If a greater number of higher quality alternatives are generated, then it is likely that the group will eventually reach a superior problem solution than the individual..

Collective understanding
Group decision-making may also lead to a greater collective understanding of the eventual course of action chosen, since it is possible that many affected by the decision implementation actually had input into the decision. The members together come to a decision after deliberation and discussions and so everyone has a better understanding of the course of action to be followed. This may promote a sense of "ownership" of the decision, which is likely to contribute to a greater acceptance of the course of action selected and greater commitment on the part of the affected individuals to make the course of action successful.

Varied experiences

There are difference in fields of experience and amount of experience and there differences in the life experiences and the kind of experiences people have had even with the same problem. This pool of experience can be a great advantage.

Improved communication
As everyone has made some contribution to the decision, people tend to be more accepting of the decision. Also those who may not have contributed still support it as "the group" has come to this decision. When people who are affected by a problem or who will be involved in implementation are involved in finding a solution, they will know how and why that particular solution was chosen. Also, people with knowledge relevant to the problem can communicate that knowledge directly if they participate in solving the problem.

There are many potential disadvantages to group decision-making. Groups are generally slower to arrive at decisions than individuals, so sometimes it is difficult to utilize them in situations where decisions must be made very quickly. The disadvantages of the group decision making process are competition, conformity, lack of objective direction and time constraints.

Competition
Most people working in a group automatically identify the situation as competitive. This generates behavior which is destructive and drains the creative energy of the group. For example, we often perceive disagreement with our ideas as a put-down. The natural reaction is to regain our self-esteem, often by trying to sabotage the ideas of those who disagreed with us. Instead of looking for ways to improve on their ideas we choose to destroy them. Eager to express our own ideas, we may totally ignore what others are suggesting. Power-seekers may use tricks such as highlighting flaws in others' arguments, barbed questions and displays of expertise to show their supremacy. These types of behavior create an atmosphere which is incompatible with effective problem solving.

Conformity
There is a strong tendency for individuals in a group to want to conform to the agreement. This can be for a variety of reasons, including the need to feel liked, valued or respected, and tends to make people gag their ideas accordingly. The comparative status of the individuals present also has an important influence. Senior members often want to maintain their image of being knowledgeable, while junior members want to avoid appearing the inexperienced 'upstart'. Because agreement on ideas can be gained quickly in a group setting, groups tend to select and approve solutions quickly, without exploring the possibilities.

Lack of objective direction
Most traditional meetings and group discussions convened to solve problems are ineffectively directed. Sometimes there is no effective leader to give direction to the discussion, with the result that it wanders aimlessly. Even when there is strong leadership, the group leader or chairman often exerts undue pressure on the direction and content of the discussion. In addition, the ideas aired during a meeting are not usually recorded, apart from the minutes and individual note-taking, with the result that many ideas are forgotten and cannot act as a constant stimulus to the discussion.

Time constraints
Group problem solving is a relatively slow process compared with working alone. It requires individuals to come together at an agreed time, usually for about one hour, and this can cause organizational problems as well as impatience among st participants to 'get it over with' as quickly as possible.

The Stages of Group Development

The stages of group development consists of Forming, Storming, Norming and Performing that was first introduce by Bruce Tuckman in 1965, who maintained that these phases are all necessary and predictable in order for the team to grow, face up to challenges, tackle problems, find solutions,  plan work, and deliver results.

In the Forming stage, it is the initial stage of group development when people join the group, gets to know each other, and begins to work together and define the group’s purpose, structure, and leadership. Behavior of each group member is determined by desire either it can be accepted by one another to avoid controversy or conflict. The group meets and learns about the opportunities and challenges, and then agrees on goals and begins to deal with the tasks. Each group member has to be independently, and motivated themselves that related with the issues and objectives of the group. Group members are usually on their best behavior but very focused on themselves. Supervisors of the group need to be directive during this stage. The forming stage is very important because, the groups members can get to know each other, exchange some personal information, and make new friends. This is also a good opportunity to see how each group member works as an individual and how they respond to pressure.

In the storming stages, it is one of inter group conflict, which each of the group member has different ideas compete for consideration. Group members open up to each other and confront each other's ideas and perspectives. Group members also accept the existences of the group but resist the control that the group imposes on individually. Further, there is conflict over who will control the group. When this stage is complete, there will be a relatively clear hierarchy of leadership within the group and agreement on the group’s direction. The storming stage is necessary to the growth of the group. It can be contentious, unpleasant and even painful to members of the group who are averse to conflict. Tolerance of each group member and their differences should be emphasized. Without tolerance and patience the group will fail. This phase can become destructive to the group and will lower motivation if allowed to get out of control. Some group will never develop past this stage. Supervisors of the group during this phase may be more accessible, but tend to remain directive in their guidance of decision-making and professional behavior. The group members will therefore resolve their differences and members will be able to participate with one another more comfortably. The ideal is that they will not feel that they are being judged, and will therefore share their opinions and views.

In the Norming stages, it is one in which close relationships develop and the group demonstrates cohesiveness. There’s now a strong sense of group identify and camaraderie. It results from differences between initial expectations and the reality of the situation as perceived by the members. Members may have varying opinions of what the group was to do and how to accomplish it. Members are also beginning to confront the differences in their personalities and values, a condition that is present anytime strangers meet. Members may feel anger or frustration with the task or with other members or may even resent the presence of formal leadership. To avoid frustration and anger among the member, other group member who manages to have one goal and come to a mutual plan for the group at this stage. Some may have to give up their own ideas and agree with others in order to make the group function. In this stage, all group members take the responsibility and have the ambition to work for the success of the team's goals.

In the performing stages, the group structure at this point is fully functional and accepted. Group member has moved from getting to know and understand each other to performing the task. Structural issues have been resolved, and structure can now become supportive of task performance. The group member is accomplishing work effectively. Production is high and the climate is positive. Member attitudes are characterized by positive feelings and eagerness to be part of the group. Members are confident about the outcome, enjoy open communication, exhibit high energy, and disagreement is welcome and handled without emotional conflict. The group members have become interdependent. By this time, they are motivated and knowledgeable. The group members are now competent, autonomous and able to handle the decision-making process without supervision. Disagree is expected and allowed as long as it is channeled through means acceptable to the group. Supervisors of the group during this phase are almost always participation  The group will make most of the necessary decisions. Even the most high-performing teams will revert to earlier stages in certain circumstances. Many long-standing teams go through these cycles many times as they react to changing circumstances. For example, a change in leadership may cause the group to revert to storming as the new people challenge the existing norms and dynamics of the group.

In the adjourning stages, it is group development for temporary group. Adjourning refers to the team breaking up after the task has been completed. At this stage, group prepares to disband. High levels of task performances are no longer the group’s top priority, characterized by concern with wrapping up activities rather then task performance. It depending on the group's success in accomplishing its task and how strongly the members have bonded, this stage may reflect either a sense of loss or relief. When a group ends, time should be spent addressing how it should be done to properly recognize the group's accomplishments. Responses of group members vary at this stage. Others may be saddened by the loss of camaraderie and friendships gained during the work group’s life.

Henri Fayol’s 14 principles of management

Henri Fayol was the first to identify the four management function like panning, organizing, leading, and controlling, and he develop guidelines for managers to follow. These guidelines from the Henri Fayol 14 principle of management such as Division of labor, Authority, Discipline, Unity of command, Unity of direction, Subordination of individual interest to the general interest, Remuneration, Centralization, Scalar chain, Order, Equity, Stability of tenure of personnel, Initiative, and Esprit de corps.

Division of work is a principle of work allocation and specialization in order to concentrate activities to enable specialization of skills and understandings to be more focus and efficiency. It increases productivity, quality and quantity of output. Division of work means dividing the total work among individuals and groups to ensure that effort and attention are focused on the task. Specialization provides the individual to build up experience, continuous improvement in skills, and to be more productive. Work specialization as the best way to use the human resources of the organization. But, the operation of group will be difficult to reschedule if any group member is absent.
In authority, managers have authority to give orders because of their position. Experience, intelligence, integrity and leadership ability are essential complements of a manager's official authority. Managers have authority to give orders must be willing to accept responsibility for the results. For example, the production manager is asking the General Manager why production is very less. He cannot say that he has delegated the responsibility to the production engineer. People often seek of authority but fear of responsibility. The fear of responsibility spoils initiative and destroys other good qualities. Responsibility arises when the authority is used and hence authority and responsibility cannot be separated.

Discipline is “respect for agreements, sincere effort for implementation a task and external marks of respect”. The essence of discipline is obedience, diligence, and correct attitude between management and its employees. A successful organization requires the common effort of workers. Employees must obey and respect the rules that manage the organization. Good discipline is the result of effective leadership, a clear understanding between management and workers regarding the organization's rules. Management can give warnings, penalties, demotions or even dismissals to the employee who breaking the rules. Maintenance of discipline requires good supervisors at all levels, clear and fair agreements, judicial application of penalty and effective communication.

In unity of command, a subordinate should receive orders and instructions from one superior only. But it does not mean that a superior should have only one subordinate. If it is not followed, there will not be any discipline. A subordinate needs to receive orders only from one superior because multiple commands will cause confusions and conflicts. Therefore a sound management should avoid dual commands.

In unity of direction, a common objective for a group of activities is an essential condition to obtaining unity of action, coordination of strength and the focusing of effort. Each group of activities should have one head and one plan with same objectives. Similar activities should be grouped together under one manager. Only then all efforts could be directed towards the common goal. Unity of command cannot function without unity of direction. For example, if there are 10 salesmen, selling the same product in the same area, and if there are 2 sales supervisors, each in charge of 5 men, then every salesman would take orders from their respective supervisors. There will be unity of direction only when all the sales plans are coordinated at a higher level.

Subordination of individual interest to the general interest is meaning that individuals who work for an organization should sacrifice their interest for the benefit of the organization like their common interest. The interest of an organization is more important than the interest of an employee. It is necessary to maintain unity and to avoid friction among the employees. In any industry, an employee interest is to earn money to meet his personal needs whereas the organization interest is to maximize the production and develop the factory. The supervisors should set the following to others to maintain general interest such as fair agreements, effective supervision and good example.
Remuneration is the money paid to the employees for their physical and mental efforts in carrying out a work.  Fair and equitable remuneration should be provided to employees to ensure better production and satisfaction. It should be fair and satisfy for both the employees and employers. Many variables, such as cost of living, supply of qualified personnel, general business conditions, and success of the business, should be considered in determining a worker’s rate of pay.

In centralization, everything which goes to increase the importance of the subordinate’s role is decentralization. Everything which goes to reduce it is centralization. The question of centralization or decentralization is a simple question of proportion; it is a matter of finding the optimum degree for the particular concern. For example: If the manager has strength, intelligence, experience and swiftness allow him to have a wide span of control; he will be able to carry centralization. If the manager prefers to have other alternative to the experience of his employee while reserving himself the opportunity of giving central directives, he can effect considerable decentralization. For effective management, decentralization is necessary.

Scalar chain means “line of authority”. Instructions and orders should be sent from top level to the bottom level only through the line of authority. There should be an unbroken line of power and command from top level to bottom level. Over lapping any one in the organization structure will spoil the performance of the management system. For example, the first-line manager should always inform their work activities to middle manager. The existence of a scalar chain and observance to it are necessary if the organization is to be successful.

In order, for the sake of efficiency and coordination, all materials and people related to a specific kind of work should be treated as equally as possible. There are 2 types of Order such as Material order and Social order. A place for everything and everything in its place “material order” and a place for every one and everyone in his place are called “social order” Scientific Selection, training and placement are necessary so that materials can be easily taken out and men can be easily located.

In organizations, equity is a combination of kindliness and justice. Both equity and equality of treatment should be considered when dealing with employees. All members of the organization should be treated equally, depending upon the performance and circumstances by fair play and justice. This would help to improve the employee’s morale, sincerity and loyalty. There will not be any friction among the employees
In Stability of tenure of personnel, people who work in an organization should not be allowed to move out quite frequently because stable and secure work force is an asset to any organization. It is better to keep a manager of average ability than a very efficient manager who simply comes and goes. The management should create favorable working conditions by providing good salary, promotion opportunities and welfare facilities. Time is required for an employee to get used to new work and succeed in doing it well, always assuming that he obtain the necessary abilities.

Initiative is the power of thinking and executing any task with enthusiasm voluntarily. Management should take steps to encourage worker initiative, which is defined as new or additional work activity undertaken through self direction. Everyone should be given an equal opportunity to use their creativity and come out with better ideas of doing the work. When employees come forward with new ideas and new methods, they must be encouraged. It improves good morale among the employees. For example, the superior must sacrifice his own vanity to encourage and inspire those under him to show initiative. Subordinates should be given freedom to come up with suggestions and ideas.

For Esprit de corps, in French word it means “feeling of harmony and union among personnel” of an organization. Union is strength. Team spirit and a sense of unity and togetherness should be fostered and administrated. Management should avoid the wrong understanding of the motto “divide and rule” and the abuse such as personnel must not be split up and abuse of written communications. Personnel must not be split up, it means that dividing enemy forces to weaken them is clever, but dividing one’s own team is a grave sin against the business. Abuse of written communications is wherever possible, contacts should be verbal; there is gain in speed, clarity and harmony. Again modern IT companies can be utilized as living example of this principle. A survey looking at approval ratings for CEOs and overall employee satisfaction shows companies like Apple and Google in top positions.
